Products Management

Manage your inventory - Add products, variants, manage stock, and import/export data.

Overview

Products are the foundation of your business. This module allows you to manage all aspects of your inventory including product details, variants (size, color, etc.), pricing, images, and stock levels across multiple branches.

Creating a Product

Step 1: Access Products

From the main menu, click Products
Click the "New Product" button

Step 2: Enter Basic Information

Required Fields

Product Name - Name of the product
SKU/Code - Unique product code (auto-generated if configured)
Category - Select or create a category
Brand - Select or create a brand
Purchase Price - Cost price
Selling Price - Selling price

Step 3: Add Product Variants (Optional)

If your product comes in different sizes, colors, or other variations:

Go to the "Variants" section
Click "Add Variant"
Select attribute (e.g., Size: Large)
Set price for this variant
Add more variants as needed

Step 4: Upload Images

Add product images to help identify products:

Click "Upload Images"
Select one or more image files
First image will be the primary image
Drag to reorder images

Step 5: Set Stock Levels

Go to "Stock" section
Select branch
Enter quantity
Add stock for each variant if applicable

Step 6: Save Product

Review all information and click "Save Product"

Importing Products

How to Import

Download Template

Go to Products → Import → Download Template to get the Excel template with all required columns.

Fill Template

Fill in your product information in the Excel file. Make sure to follow the format exactly.

Preview Import

Upload the file and review the preview. Fix any errors before importing.

Complete Import

Click "Import" to add all products to your system.

Product Variants

Product variants allow you to manage products that have different attributes:

Examples:

T-Shirt: Small, Medium, Large
Shoes: Size 8, 9, 10
Laptop: 8GB RAM, 16GB RAM

Managing Stock

Stock levels are managed per branch and per variant:

Operation	How to Do It
Add Stock	Purchase Orders or Stock Transfers
Reduce Stock	Sales Invoices automatically deduct stock
Adjust Stock	Go to Actual Quantity module
Transfer Stock	Use Stock Transfer feature

Exporting Products

Export your product list to Excel:

Go to Products list
Apply any filters you need
Click "Export" button
Choose format (Excel, PDF)
Download the file

Tips & Best Practices

SKU Codes: Use consistent naming conventions for easy searching

Images: Use clear, high-quality images for better product identification

Categories: Organize products into categories for easier navigation

Stock Tracking: Always check stock before selling to avoid overselling
